Responsibilities

  • Strategic Calendar Management: Organize and manage a complex calendar, ensuring efficient scheduling of meetings, clinical appointments, and events.
  • International Travel Coordination: Plan and execute overseas travel arrangements, including flights, accommodations, and expense claims.
  • Comprehensive Administrative Support: Provide a full range of administrative services to the Senior Management Office.
  • Meeting and Event Coordination: Support the Senior Leader in planning and executing meetings and events, from preparation to follow-up.
  • Data Analysis and Reporting: Collect, analyze, and present data in a clear and concise manner.
  • Engagement Event Planning: Organize and coordinate engagement events, ensuring seamless execution and successful outcomes.
  • Document Management and Review: Ensure timely and efficient processing of documents requiring Senior Leader approval.
  • Recordkeeping and Filing: Maintain accurate and organized records of office documentation and clinical data.
  • Correspondence Management: Handle incoming and outgoing correspondence effectively.
  • Administrative Tasks: Perform general administrative duties, including typing, filing, and photocopying.
  • Expense Management: Prepare and submit expense claims and records for the department.
  • Additional Duties: Perform other tasks as assigned by the Reporting Officer.

Requirements

  • Diploma in any relevant field
  • At least two year of working experience in secretarial support
  • Well organized and able to coordinate busy schedules and calendar
